Competency Management
Competency Based Education (CBE) in healthcare equips learners with the skills, knowledge, and attitudes essential for their professional roles. Unlike traditional time-based models, CBE emphasizes measurable outcomes and real-world application, ensuring healthcare professionals demonstrate competence in critical tasks.
By aligning education with patient care standards, CBE prepares providers to deliver safe, effective, and patient-centred care while bridging the gap between academic learning and clinical practice.
Recognizing its importance, accreditation bodies increasingly require schools to track students’ performance across various competencies.
Exxat Prism's Competency Management module offers a comprehensive solution in a simple 3 step process to help healthcare schools efficiently manage and monitor their students' competencies.
Administrators can control when to publish the competency score for the framework to the students.
Exxat Prism’s Competency Management offers the following options to effectively monitor and track the student’s competencies.
- Setup a competency framework.
- Map assessments to the competencies.
- Generate comprehensive reports to monitor student performance.
- Publish Competency Score for Students.
Things to Remember
Competency Framework
- Configure one competency framework at a time.
- Competency framework can be associated to multiple assessments.
- Only assessments with a scoring-scale can be associated to the competency framework.
- Competency framework can have only one scoring scale-type to track the competency score.
Scoring Scale
- Assessments can have multiple scoring scales in it.
- Select only one scoring scale type for the competency.
- Evaluations with the chosen scoring scale is available for mapping with the competency.
- Evaluations with a different scoring scale in the assessment is excluded from the competency framework.
- The scoring scale has two sections
- Response scale: The evaluation parameter users see in the evaluation from and select for scoring.
- Scoring scale: The numerical value or weightage associated to each evaluation parameter in the response scale. This is seen just below the response scale.
Example:
Competency framework for “Competency” is associated to assessments “Assessment 1”, “Assessment 2”, and “Assessment 3”
Scoring scale for each assessment is as in the table below.

- In the above example, the assessments Assessment 1 and Assessment 3 have the same scoring scale.
- Whereas assessments in Assessment 2 have two scoring scales.
- Scoring scale 1 of the assessments in Assessment 2 is same as the assessments in Assessment 1 and Assessment 2.
While selecting a scoring scale for the competency framework, you have an option to select between the different scoring scales. In this example it is either scoring scale 1 or scoring scale 2 for the competency framework “Competency”.
- If you select Scoring scale 1, the evaluations in the Assessment 1 with scoring scale 2 is omitted from the competency framework.
- If you select Scoring scale 2, the evaluations in the assessments Assessment 1, Assessment 2, and Assessment 3 with scoring scale 1 is omitted from the competency framework.
In this example it is ideal to select Scoring scale 1 as the scoring scale for the competency framework “Competency”.
It is important to select the right scoring scale for the competency framework, to track the scores effectively.
Competency Score
- The competency scoring scale is same as the assessment scoring scale.
- Each question or evaluation mapped to the competency is weighed equally to calculate the average competency score.
- Calculate weighted average of scores from sublevels.
- Use number of evaluations for each sub-level as the weight for calculation.
This is a sample example to explain the calculation for scoring competency.
Competency Levels
- Domain: The highest level.
- Subject: A subdomain under Domain.
- Topic 1 and Topic 2: Specific components under Subject.
Scoring Example

Topic 1 is Linked to 3 questions in Assessment1. The student scores 3, 4, and 3.
Average score for Topic 1 is (3+4+3) / 3 = 3.33 - Topic 2 is Linked to 2 questions in Assessment1. The student scores 3 and 3. Average score for Topic 2 is (3+3) / 2 = 3
Calculating Parent Score
Use weighted average based on how often each component (Topic 1 and Topic 2) was evaluated.
Score for Subject is (3.33×3+3×2) / (3+2) = 3.198
This method ensures that the final score reflects both the performance and the evaluation frequency at each level.
Competency Threshold
Competency Threshold Score is the benchmark score for each competency.
Configure Competency Framework
To setup a competency framework, follow the steps provided below.
- Login to the Exxat Prism using your university login credentials.
- Go to Competency Management in the Curriculum Management section.
- To setup competencies for the first time, In the Setup tab click on the Add New button.

Select a Competency to configure and click Next. You can configure one competency framework at a time.

Select the Assessments to associate to the competency and click Next. The list populates only assessments with a scoring scale.

Select the scoring scale
- If the selected assessments include multiple scoring scales, click Select Scale to select one scoring scale type for the competency framework.
- Select a scoring scale type to apply for the competency framework and click Save.
You can also edit the scoring scale type selected. To edit the Scale Type for Scoring, click on the Edit button next to the scoring scale.
- If the selected assessments include multiple scoring scales, click Select Scale to select one scoring scale type for the competency framework.
- To Setup a Competency Threshold Score, click on the Select the Score button.
Setting a competency Threshold score helps identify students who score below the threshold from the reports. The threshold score is applicable to all competency levels. - To Set Competency Threshold Score, use the “+” or “-” buttons next to the score indicator.
Alternatively, you can also use the slider to set the threshold score. - In the top right corner of the Add new page, Click Next to go to the Summary tab.
- Review the contents of the summary page.
- Click Save to add the Competency Framework.
- Click Previous to go back to the tabs / sections and make changes if required.
- Click Save to add the Competency Framework.
After you save the competency framework configuration, map the assessment questions to the competencies to start tracking the competency scores.
Click on the Start mapping button to start mapping the assessments or Click I’ll Map it later to complete the mapping at a convenient time.

Map Competencies
You should map the assessments questions to the competencies to track the students’ competency scores effectively.
To map the assessments questions to the competencies, follow the steps provided below.
- Login to the Exxat Prism using your university login credentials.
- Go to Competency Management in the Curriculum Management section.
- In the Setup tab, go to the Competency framework to which you need to map the assessment questions, and Click Map.
- Select competencies to map and click the down arrow next to the question.
- Click Add Mapping
- Select the competencies to map to the selected question, and Click Save As Draft.
Competency mapping is mapped successfully. You can see an hourglass
next to the competency indicating that mapping is saved as draft only. Meaning the mappings in draft are not considered for calculating the competency score.
The hourglass icon also includes a text displaying the number of changes saved as draft.To calculate the competency score for the assessments mapped to the competency framework, click Apply Changes button on the top right corner of the screen.
- Click Apply Changes to publish the competency mapping.

Review Student’s Competency Performance
Once the Competency framework is setup, assessments are mapped to competencies, and assessments are scored, you can review the scores for each competency and its various levels for each student in the Review tab.
You can also view comprehensive reports for each student for the selected competency.
To review scores and view report, follow the steps provided below.
- Login to the Exxat Prism using your university login credentials.
- Go to Competency Management in the Curriculum Management section.
- Go to Review tab.

Select a competency framework to review.
- A table with student scores for each competency is displayed.
- A student who scores below the Scoring Threshold is highlighted with red colour, for easy identification.
- Click on the student’s name to view the student’s profile.
- Click View Report to see detailed analysis of the student's competency scores.
- In Student Competency Report you can see the following reports
- Score overview per competency
- Score overview per course
- Student v/s class (cohort of the student) average
- Score summary per competency
- Score per assessment per course offering for each competency.
- To download a detailed report, click the Comprehensive report button in the top right corner.

Select a competency framework to review.

Publish Competency Score for Students
Administrators can choose when to publish the competency score to students for the selected competency framework.
Students can view their competency score for the competency framework only when the competency framework is published.
To publish the competency framework, follow the steps provided below.
- Login to the Exxat Prism using your university login credentials.
- Go to Competency Management in the Curriculum Management section.
- Go to Review tab and select a competency framework to publish.
- Go to Publish / Unpublish drop-down and select Publish.
- Click OK on the pop-up requesting for confirmation to proceed to allow students to view their competency scores.
Competency Framework is published to the students.
You can also see that in the setup-page, the publication status of the framework changes to published.

Delete Competency Framework
To delete the competency framework, follow the steps below.
- Login to the Exxat Prism using your university login credentials.
- Go to Competency Management in the Curriculum Management section.
- In the Setup tab, go to the Competency framework you want to delete.
- Click on the trash bin icon.
